Review of the orientation manual and introduction to the management

The first day activities involved introduction to the management and review of the orientation manual. I was also provided with the relevant information about the project.

Indicator and contribution to my objective and competencies

The activity related to my internship objectives as it provided an opportunity to establish professional contact with the staff in the internship site. The activity also played a significant role in providing growth, as well as learning in my profession. Through the review of the orientation manual, I familiarized myself with the HIM department and got to understand some of the guidelines available for better management. The activity also played a significant role in enhancing my managerial competencies as they provided me with an insight on the components of the orientation manual, making it easier for me to create one.

Regulatory compliance

The compliance division within the Health Information Department is charged with monitoring compliance with the HIPAA, hospital policies, and the standards set by the Joint Commission and Centre for Medicare and Medicaid Services.

Objective

One of my objective for this internship was to be able to follow all the rules provided by the Joint Commission and Centre for Medicare and Medicaid Services.

Indicator and contribution to my objective and competencies

This activity helped me to obtain the required knowledge of the TJC, as well as CMC monitoring for compliance. The activity also assisted in understanding how to collect data to be used in the reporting tools. The activity provided growth and learning to my profession, as it is now easy to use the appropriate method to collect data and make better reports for use by the department. The activity also met my internship objective, which was to improve my ability to collect data from the internal and external sources and analyze them accordingly. The activity also enhanced my competencies in information technology within the health information department.

Chart retrieval

One of the managers in the chart and retrieval team within the outpatient took me through the process. During this activity, I understood the two types of patients’ charts which are the individual patient chart and the loose work chart.

Objective

One of my internship objective to obtain quality managerial skills as well as financial management skills in order to carry out my duties effectively and efficiently.

Indicator and impact on my competencies

The chart retrieval process helped me to understand how different records are received and tracked within the department. This was important for my profession for better management of health information. My information and technology competencies were enhanced, thereby enabling me to apply them to collect patients’ medical records in a uniform manner.

Imaging process

On this day, I learned how the process of chart intake works. The process follows the retrieval process. The process involved the chart intake and prepping to ensure that all the documents were put in order.

Objective

I wanted to how to go about prepping and the application of the HIPAA guidelines in the process.

Indicator and impact on competencies

The imaging process helped me to obtain an understanding of chart intake, prepping, as well as scanning. The activities also contributed to sharpening my information technological management competencies, thereby contributing to personal and professional growth. The activity also played a significant role in enhancing my human resource competencies through enhancing accuracy in all patients’ records.

Scanning

On this day, I learned how to scan documents in order to store them electronically. I learned the things that one needs to have in place before scanning, such as removing the staples and ensuring that the documents have no folds. I also learned the need for assigning a number to every document that is scanned.

Objective

The activity helped meet my objective, which was to handle medical records accurately and efficiently.

Indicator and contribution to competencies

The activity contributed to my professional compliance as I was able to meet the HIPAA standard that requires one to keep patients information confidential. The activity also contributed to my managerial competencies regarding the storage of the information securely. My information technology competencies were also enhanced as I electronically stored the patients’ information.

Quality indexing

This activity helped me to get an understanding of how to index the scanned images accurately. The activity met my internship objective, which was to improve my quality management skills. The activity also added some vital knowledge about accurate indexing, which is essential for facilitating reliable information within the healthcare sector.
