Details: After reading case study 5-1 (Cypress Semiconductor Corporation), write an email to Mr. Rodgers, responding to his appeal for your thoughts regarding his reply to Sister Doris. You must use sound logic (including expert opinion) when you justify your position. Your argument must contain a claim, reasons for your claim, and evidence. Simply agreeing with Mr. Rodgers is insufficient. Use email format (To, From, Date, Subject Line, Salutation, Signature).
Here are some pieces of advice regarding the email you will be writing to Mr. Rodgers
1. You may need to use external sources to support your viewpoint. Write clearly and concisely (approximately 400 to 500 words)! Make sure your message has substance. Avoid rambling.
2. Regarding the format of your email, make sure it is block (left aligned), single spaced, and has the typical header (Date, To, From, Subject) and segments. Double space between paragraphs – instead of using indentations.
3. Be sure to write in an audience-oriented fashion (e.g., business messages should be easy to read). Use the correct name and job title of your audience.
4. Be specific and purposeful in your subject line; for example, “My Opinion” is too vague.
5. Regarding content, make sure you identify the purpose of your message. Develop an effective main idea and place it effectively. You must inform the audience about the problem or opportunity and persuade them to take action. An effective email aligns the purpose of the message with the needs of the audience.
6. Make sure you analyze purpose, audience, and outcomes of your message before you start composing. Ask yourself if your purpose is to inform or to persuade. Think about your role play and what kind of relationship you have with your audience (Rodgers).
7. Determine whether your message will be more effective if you use the direct (or indirect) approach in your message.
8. You’ll need to compose at least three sections (an opening, a body with a discussion section, including explanations and logical arguments if the memo is persuasive, and an effective closing with a call to action).
• Your middle section should include the details that support your viewpoints. Start with important findings if necessary and move on to the recommendations (which need to be directly related to the findings). Include supporting facts, ideas, and expert opinions (external sources that must be cited in APA) to make your memo effective. And remember to add audience benefits and concerns.
• Your closing section should be a courteous call to action. State what action you expect from your audience. Briefly point out the most important benefits.
9. Remember to review your email for content, style, and tone before you post it. Use conversational style but avoid jargon and slang. Proofread for grammar and typos.
